Voicemail drop: how it works and the rules

What voicemail drop does

When a call goes to voicemail, the rep presses one button (or the dialer does it automatically) and a pre-recorded message is left in the mailbox. The rep is free to start the next call immediately instead of leaving the same message by hand.

How it works

The dialer detects the voicemail greeting, usually by listening for the beep or using answering machine detection, and then plays your recording. The detection step is the hard part: if the dialer plays the message into a live person, or starts too early and clips the start, the call sounds broken. Manual drops, where the rep clicks after hearing the greeting, avoid that risk.

Writing a good message

  • Keep it short, around 20 to 30 seconds.
  • Say who you are, why you are calling and how to reach you, and repeat the number.
  • Use more than one recording and rotate them, so repeat attempts do not sound identical.
  • Make the ask small, such as "call me back" or "reply to my email".

Rules

Pre-recorded and automated messages are regulated in many places, and the rules differ for marketing and non-marketing calls. Some products also charge per drop. Check your consent position and your provider's terms before you switch it on for a large list.

What to look for

  • Manual and automatic drops.
  • Multiple recordings per campaign.
  • Logging, so each drop shows up on the contact's record.
  • Pricing. Whether drops are included or billed separately.

FAQ

Is voicemail drop legal?

It depends on the country, the type of message and whether the person has given consent. Pre-recorded messages are regulated in many places, so take legal advice before using voicemail drop at scale. This is not legal advice.

Is voicemail drop the same as ringless voicemail?

No. Voicemail drop plays a recording into a voicemail after the call has connected, so the phone rings first. Ringless voicemail delivers a message straight to the inbox without ringing, and it can be treated differently by regulators.
